OUR Paper Reduction Presentation

The Office of the University Registrar’s University Curriculum Office was invited to give a presentation to the Paper Reduction Committee to speak about the online Curriculum Management system currently in roll-out.

PAPER-BASED PROCESS

The University Curriculum Office coordinates the review of new, change, and distance learning applications for courses and distance learning proposals originating in Seattle, Bothell, and Tacoma, on behalf of the University Curriculum Committee (UWCC).  It also processes changes and additions to undergraduate programs such as majors, minors, and options, on behalf of the Subcommittee on Admissions and Programs (SCAP).  Traditionally, all these proposals have been submitted using paper-forms, amounting to over 15,000 sheets of paper which are processed, scanned, stored, and mailed each year.  The University Curriculum Office must keep a long term record of all classes which have been offered at any of its campuses, which means that a lot of time and space is devoted to storage: There are 14 filing cabinets nearing-full capacity housed on the 2nd floor of Schmitz Hall.

curriculumDEVELOPMENT OF NEW ONLINE SYSTEM

Conversations surrounding a new online system which would replace the paper-based profess for curriculum management have been in the works for about 5 years.  Last year, with the help of UW IT, a curriculum management system was chosen and work with the system’s vendor, UW IT, and the Office of the University Registrar began.  It was decided that the first process to be moved to the online system would be course proposals by Autumn 2016, followed by program changes and additions in early 2017.  Various Departments provided feedback during beta-testing for the course proposal process in Winter 2016, and by Spring 2016 the first course applications were submitted with the support of UW IT and the University Curriculum Office.  Pilot training took place during August 2016, and a Curriculum Oversight Committee was put together beginning Autumn 2016, bringing leaders together from all three campuses in support of the new online UW Curriculum Management (UW CM) system roll-out.  Throughout the month of October, Curriculum Coordinators across UW will be trained to use the new UW CM system, taking the first step to reduce paper-consumption in the curriculum development process University-wide.
